Built For Your IFTA Return

What An IFTA Trip Record Needs

The IFTA Procedures Manual says a trip record should show:

  • Start and end dates of the trip
  • Origin and destination
  • Route of travel
  • Odometer (or ECM) reading at the start and end
  • Total miles, and miles in each state or province
  • Truck unit number or VIN

Every one of those is a column in the log.

What A Fuel Receipt Needs

To get credit for tax you already paid at the pump, the receipt has to show the date, the seller's name and address, the gallons, the fuel type, the price per gallon or total, the truck it went in, and the buyer's name. No receipt, no credit.

Keep It 4 Years

Hold on to your trip records and fuel receipts for 4 years from the date the return was due or filed, whichever is later. If you get audited, this is what the auditor works from.

Yes. If your ELD exports miles by state, type those totals into the Trip Log, one row per state. Keep the ELD export too.

Most heavy trucks run somewhere between 4.5 and 7.0 MPG. If your quarter comes out outside that range, you're probably missing a fuel receipt or a trip.

No. It's an estimate to check your numbers. Tax rates change every quarter and some states add surcharges. Your filed return is what counts.

The last day of the month after each quarter: April 30, July 31, October 31 and January 31. A weekend or holiday moves it to the next business day.
